What this covers

This policy explains what personal information KNOWN collects when you use knownre.com.au, enquire about a property, ask for an appraisal, register for Pre Market, or receive a proposal from us, and what we do with it. It covers our website, our emails and our customer records.

What we collect

When you enquire or ask for an appraisal. Your name, email address and mobile number, the property you are asking about, the address of a property you may sell or lease, your timeframe, and anything you write in the message.

When you register for Pre Market. The same contact details, plus what you are looking for: suburbs, price range, bedrooms and property type.

When we send you a proposal. Your name, the property address, your contact details, and, if you accept, the time you accepted and the campaign you chose. If you sign an agency authority with us, the signed document and the identity details the law requires us to check.

When you visit the website. Pages viewed, the device and browser you use, and how you arrived, through analytics and advertising tools such as Google Analytics and Google Ads. These use cookies. See “Cookies and advertising” below.

When you contact us in other ways. What you tell us by phone, email, at an inspection or at an auction, so we can follow up.

We do not collect sensitive information, such as health or financial details, unless you give it to us for a specific purpose, such as a lease application.

Why we collect it

To answer your enquiry. To arrange inspections and appraisals. To tell you about a property before it goes to market when it matches what you registered for. To prepare, send and complete a proposal and an agency agreement. To meet our obligations as a licensed estate agent, including keeping records of sales, leases and authorities. To understand how the website is used and to improve it. To advertise KNOWN to people who have shown interest, where you have not opted out.

We collect only what we need for these purposes. If you do not give us your details we may not be able to respond to you or act for you.

How we hold it

Your details are held in our customer relationship management system, hosted in Australia, and in the systems that run our website, our proposals and our emails. Some of these providers may store data outside Australia, including in the United States and Europe, under their own security commitments. We take reasonable steps to protect your information from misuse, loss and unauthorised access, and we do not sell it.

Who we share it with

Our staff and contractors who need it to act for you. Our service providers, only so they can provide their service. Property portals and advertising platforms, where you have asked us to list a property or where an enquiry comes through them. Our legal, accounting and compliance advisers when needed. Government agencies and courts where the law requires it. Nobody else without your consent.

How long we keep it

We keep your information only as long as we need it for the purposes above. Records we are required to keep as a licensed estate agent, including authorities, sale and lease records, are kept for the periods the law sets, and for as long as needed to deal with any claim. Pre Market registrations are kept until you unsubscribe. You can ask us to delete your details at any time, and we will unless the law requires us to keep them.

Cookies and advertising

The website may use Google Analytics to measure visits and Google Ads to show KNOWN’s advertising to people who have visited the site. These set cookies and send an identifier for your browser. You can block cookies in your browser, and you can opt out of personalised advertising at adssettings.google.com.

Emails from us

We email you about the enquiry you made and, if you have registered, about properties that match. You can unsubscribe from marketing emails using the link in any email, or by contacting us. We will still send you emails needed to complete a sale, lease or agreement you are part of.

Access and correction

You can ask to see the personal information we hold about you and ask us to correct it. Email info@knownre.com.au or call 0458 585 585. We will respond within 30 days. There is no charge to make a request.

Complaints

If you think we have mishandled your information, contact us first at info@knownre.com.au with the subject “Privacy”. We will acknowledge your complaint within 7 days and aim to resolve it within 30. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

Changes

We update this policy when our systems or the law change. The date at the top is the current version.
